Email, Link, and File Tracking
Designed for small businesses who thrive on follow-ups, not funnels

Why link and file tracking?
With over 46% of active users tracking emails regularly, Titan’s read receipt was one of the “most-used” and “most-upgraded-for” offering. And users wanted more.
They wanted to know:

"Who clicked the links in my emails"

"Who opened or downloaded my attachments and when"
With nearly 30% of upgrades driven by Read receipts, deepening Titan’s tracking capabilities seemed intuitive
My Role
Analysed user feedback from support tickets, Canny, and NPS responses
Mapped out personas & job stories to craft the Labs questionnaire and test key hypotheses
Did competitor research, to identify UX patterns and define a right-sized V1 for Titan’s user base
Designed end-to-end experience: user flow, composer hooks, contextual upgrade nudges, and tracking visuals

Shaping the Scope
Our users wanted deeper visibility into how their emails performed. Fair.
But "tracking" is a broad space. Should we show total clicks, views? unique clicks, views? Real-time alerts? Heatmaps? The possibilities were endless.
The existing feedback was Loud and Wide
I started by mapping a broad set of job stories from support tickets, Canny, and more but the range was huge. Below are some examples.

So that I can follow up with the right people at the right time.

So that, I can have a quick look at the engagement rather than having to search for that email in the centralised email tracking location.

To further cut through the noise, I ran a Titan Labs Experiment

To avoid falling into the analytics rabbit hole, we needed clarity. So, with my PM, I launched a Titan Labs experiment . A quick, interactive PoC paired with thoughtful, scoped questions to understand user jobs. The goal was simple: validate direction!
I also studied tools like Mailtrack, Mixmax, and Streak to understand design patterns for tracking experiences.
What Labs told me was Loud and Clear

Unlike marketing tools that chase impressions or CTRs, Titan serves relationship-driven communication. The first signal of intent is what matters most and that simplified a lot of things for us.
What made it into V1
A clean email-level activity view with open, click, and download signals
Tracked files are auto-hosted and converted into links, live for 60 days
Only the first instance of email open, link click, or file download triggers a notification

Email clients don’t allow tracking scripts, SVGs, or any embedded code inside attachments due to privacy restrictions. This solution bypasses that limitation by hosting the file externally and tracking access with a styled link

Sender Side Experience
I placed the tracking controls right into the email composer exactly where users write and attach files to ensure: Zero disruption, Natural discoverability, Higher adoption
Recipient-Side Experience
Here’s how a tracked file appears to recipients when sent from Titan to an external email client like Gmail.
Notice that the pill doesn't look like a standard attachment. That’s because it’s a link, styled to look like a file, built using a custom HTML design with an invisible tracking wrapper on top.
When the recipient clicks the tracked file pill, two things happen simultaneously:
The file download begins
A new tab opens confirming that the file is being delivered securely

Event-first alerts
Each notification begins with the type of event (opened, downloaded, clicked)



Latest user surfaced
The notification highlights the most recent recipient who triggered an event and summarises how many others engaged subtly adding social proof and urgency
Recipient-level Activity View

Clicking a notification opens a clean, recipient-first modal showing every tracked event for each person.
No filters, no search, no totals. Why?
Because Titan’s users don’t run massive campaigns. Most emails go to <3 recipients. Even campaign sends stay under 20.
So I designed for clarity, not complexity. A focused view that supports quick follow-ups and real action.

Titan’s tiny interns are always on duty. They let our users know the moment something moves 🐾
Good Design Deserves Good Revenue

For non Ultra Plan users, I placed smart nudges that would trigger right when users paste links or attach files, gently prompting them to track, and yes, upgrade.
